Recognize any deferred revenue as earned and payable, including in the event of termination as set forth in Schedule C (Past-Due Balance & Deferral Ledger).
Inform the Contractor promptly and in writing if the University's financial position, funding status, or budget allocations undergo any substantive change that could reasonably affect payment obligations or the continuation of contracted services.
The University shall provide updated financial contact information for the CFO's office and ensure continuity of communication during any administrative transitions.
XVIII. Meetings, Documentation, and Recordkeeping
Lead: University Authorized Project Representative
Participate fully in governance and working meetings.
Use project management tools to track updates and deliverables.
Document and share all decisions impacting online programs with the AVP (Contractor) and University Director of Online Education within one (1) business day.
Meeting notes and project documentation shall be reviewed and approved by both Parties within five (5) business days of distribution.
Both Parties shall maintain shared access to the most current approved documentation in a secure, mutually agreed repository.
XIX. Student Experience Protections
Leads: AVP (Contractor) and University Director of Online Education, Registrar, Enrollment Services
Ensure that all offices impacting online students (registrar, advising, financial aid, bursar) coordinate with the Contractor to maintain consistent and timely service standards.
Prioritize and promptly address issues affecting student experience, compliance, or program launch.
Exclude students from internal communications; only share acknowledgment and resolution communications directly with students.
Uphold timely and professional internal communication between traditional and online offices; all student related materials and updates should be shared across teams to support continuity, close communication loops, and uphold service standards.
Ensure administrative processes do not obstruct student enrollment, progression, or retention.
Ensure that all student-related communications with the Contractor follow FERPA guidance.
