## General Ledger and Chart of Accounts
The general ledger is defined as a group of accounts that supports the information shown in the major financial statements. The general ledger is supported by various subsidiary ledgers that provide details for certain accounts in the general ledger. The general ledger is the foundation for the accumulation of data and reports.
The chart of accounts is a systematic numbering system for the accounting system. Accounts are a means by which differing effects or transactions can be categorized or collected.
The chart of accounts is the basis for the general ledger and KSU's accounting system. General ledger accounts are used to keep track of transactions and how these transactions affect each asset, liability, revenue, expense, and fund balance account.
There are two types of accounts: real accounts and nominal accounts. Real accounts are assets, liabilities, and fund balance accounts and they appear on the statement of net position (balance sheet). Nominal or temporary accounts are revenue and expense accounts, and they appear on the statement of revenues, expenses, and changes in net position (income statement). KSU's nominal accounts are periodically closed or zeroed out, but real accounts are more permanent. KSU may periodically measure the results of operations during a certain period by closing those accounts.
A chart of accounts is used as a guide through the general ledger.
## Policy
The CFO of KSU controls the chart of accounts, ensuring that the chart of accounts meets the needs of the:
Organizational structure, divisions, and departments.
Internal financial management reporting, and
• External and regulatory reporting requirements.
The CFO approves the chart of accounts. The Controller maintains the approved accounts, including additions and deletions, within the accounting system.
## Account Definitions
Although a detailed explanation of each account classification is beyond the scope of this manual, the following table will assist the user in classifying new accounts. The segments of each general ledger account have the following elements: Fund, Organization, Account, and Program (FOAP) as defined and outlined below.
## Funds
A Fund (FUND) is a 6-digit code that identifies funding source and ownership of cash or fund balances. The first 2-digits identify the Fund Type which is used to group funds to meet external reporting requirements.
