Faculty records are the primary source of truth for federal financial aid compliance.
| Requirement | Why It Matters |
|---|---|
| Document academic engagement | For online and hybrid courses, all engagement must be documented in Canvas using graded activities. LMS login alone is not sufficient evidence of engagement under federal guidelines. |
| Report Never Attended students | Students who receive Title IV funds but never attend must be reported so Financial Aid can initiate Return to Title IV (R2T4) processing. Failure to report on time shifts liability to the university. |
| Record accurate LDAs | The LDA is used to calculate how much federal aid a student earned before withdrawing. An inaccurate LDA can result in the student owing money they have already spent, or in the university being required to return funds on the student's behalf. |
| Retain documentation | In the event of a federal audit, faculty may be asked to provide gradebook records, submission logs, and communication records supporting attendance and grade determinations. Retain all records for a minimum of five years. |
