Federal law (34 CFR § 668.22) requires LDA data for Title IV Return to Title IV (R2T4) calculations. An inaccurate or missing LDA can result in incorrect financial aid calculations and student debt.
Record Retention
Grade and attendance records must be retained for a minimum of three years.
Records stored in Banner and Canvas are maintained by the university. Faculty should not delete or alter course records outside of the approved grade change process.
For grade disputes or audits, original documentation (gradebooks, rubrics, submission records) may be requested by the Registrar or Academic Affairs.
Grade Changes
Grades may only be changed after submission through the official Grade Change process.
A Grade Change Form must be completed, approved by the department chair, and forwarded to the Registrar's Office.
Grade changes must be based on documented academic grounds (e.g., calculation error, missing submission later verified). Grade changes to avoid a student's academic consequences are not permissible.
Step-by-Step Procedure
Follow the steps below for each task. If you encounter a system issue or are unsure how to proceed, contact the Registrar's Office or your department chair before the deadline passes.
Recording Daily Attendance in Canvas (In-Person and Hybrid Courses)
Step 1: Open the Canvas Attendance Tool
Log in to Canvas
Navigate to your course.
Click on the Attendance tool in the left-hand course navigation menu.
Step 2: Mark Each Student's Status
Select today's date from the calendar view.
Mark each student as Present, Absent, Late, or Excused.
Do not leave any student unmarked. An unmarked status does not default to Present.
