IV. TRAVEL AND BUSINESS EXPENSES

AIM Services supports employee travel when it is necessary to carry out agency business, attend required training, provide services, or participate in approved meetings and events. Employees are expected to use agency resources responsibly and select reasonable, cost-effective travel options. This policy applies to all employees who travel on behalf of AIM Services or incur business-related travel expenses.

AIM reserves the right to deny reimbursement for expenses that are not properly documented, exceed approved limits, or are determined to be excessive or unrelated to agency business. Safety and Professional Conduct. Employees are expected to conduct themselves professionally while traveling on behalf of AIM and comply with all AIM policies and procedures.

Travel Authorization

Employees must obtain approval from their supervisor before incurring travel expenses, except for routine local travel that is part of their normal job duties.

Transportation

Employees should use the most reasonable and cost-effective method of transportation available. Personal vehicles may be used for approved business travel. Employees must comply with AIM's Vehicle Safety Policy and all traffic laws. AIM will not reimburse parking tickets, traffic fines, or other penalties resulting from an employee's violation of law or policy.

AIM will reimburse approved mileage at the current IRS rate and will reimburse documented tolls and parking fees. Travel between an employee’s home and assigned work location is not reimbursable. When an employee travels directly from home to a temporary work assignment (conference, meeting, etc.), AIM reimburses only the mileage that exceeds the employee’s normal commute. If the temporary assignment is closer to home than the regular work location, no mileage is reimbursed. This is the lesser-of rule.

Parking, tolls, airfare, taxis, trains, Ubers, etc., when not charged to an AIM credit card, will be reimbursed at actual cost for approved travel.

Lodging and Meals

When overnight travel is required, AIM will reimburse reasonable and necessary lodging and meal expenses that have been approved in advance. Employees are expected to:

  • Select reasonably priced accommodation.
  • Use good judgment when incurring meals and incidental expenses.
  • Submit itemized receipts for reimbursement as required.
  • Alcoholic beverages will not be reimbursed unless specifically approved as part of an authorized business event.
