F. PAID TIME OFF

Full-time employees are eligible for Paid Time Off under the accrual rules in this section. PTO may be used for an employee's illness, a family member's illness or injury, vacation, personal business or appointments, religious holidays not covered by AIM's paid holidays, and other personal reasons.

New full-time employees begin accruing PTO after completing the 90-day orientation period. During the first year of employment, an employee may accrue up to 40 hours of PTO. Before becoming eligible for PTO, an employee may request unpaid time off for special circumstances, subject to supervisory approval.

Employees with 1-2 years employment at AIM will receive 160 hours of PTO on their benefit date. Employees may accrue a maximum of 160 hours of PTO annually.

Employees with 3 or more years of experience will receive 200 hours of PTO on their benefit date.

Benefit Date means the date on which an employee becomes eligible for PTO and other benefit accruals based on employment category. The benefit date may change because of an approved unpaid personal leave of absence that is not FMLA-protected or because of a change in employment category.

PTO must be used during the benefit year in which it is provided. Except as expressly permitted under AIM’s prior-year PTO exception described below, unused PTO is forfeited at the end of the benefit year and is not payable upon a change in employment status or separation from employment. Employees will not be paid for unused PTO when employment ends.

When an employee exhausts all of their PTO prior to the end of their benefit year, they may request up to 40 hours of unused PTO from the previous benefit year. The request must be made to the Human Resources Department and will be approved on a discretionary basis.

Employees may request PTO in half-hour increments or in amounts equal to their scheduled shift. Requests must be submitted through AIM’s electronic payroll system to the employee’s supervisor at least two weeks in advance when the need for leave is foreseeable. AIM may consider exceptions for emergencies, illness, or other unforeseeable or extenuating circumstances.

PTO is paid at the employees' current base rate of pay. PTO may not be used prior to accrual. Employees do not accrue PTO during unpaid time and leaves of absences. You may be required to use PTO instead of unpaid leave during Family and Medical Leave.

Accrued Time Donation:

Full-time employees may request to donate a portion of their accrued/unused PTO hours to another full-time employee who would otherwise be out of work without pay due to a FML or emergency/extenuating circumstance. Criteria and procedure are available by contacting the Human Resources or Payroll Department.

Scheduled Paid Time Off:

Employees may NOT take more than two (2) weeks total of PTO between June 15th and September 15th of the calendar year.
