XII. SOCIAL MEDIA AND ONLINE COMMUNICATIONS POLICY

AIM recognizes that social media and other online communication platforms can be valuable tools for sharing information and engaging with the community. This policy is intended to protect the privacy of the people we support, safeguard confidential information, preserve AIM's reputation, and ensure appropriate online conduct while respecting employees' rights under applicable law.

This policy applies to all employees and to any online activity that may affect AIM, its employees, the people it supports, business partners, vendors, or operations, whether conducted on personal or AIM-owned devices. Social media includes, but is not limited to, Facebook, Instagram, LinkedIn, TikTok, X, blogs, forums, video-sharing platforms, and similar online communication channels.

Personal Use of Social Media

Employees may use personal social media during non-working time, provided such use:

  • Complies with AIM policies, confidentiality requirements, and applicable laws.
  • Does not create a conflict with the employee's responsibilities to AIM.

Representing AIM

Only authorized employees may speak, post, or communicate on behalf of AIM through company-sponsored websites, social media accounts, or other online platforms. Employees who identify themselves online as AIM employees must clearly state that their opinions are their own and do not necessarily represent AIM. A recommended disclaimer is:

  • Post photographs, videos, recordings, or identifying information related to individuals receiving services.
  • Disclose confidential information about employees, vendors, contractors, or agency operations.
  • Violate HIPAA, confidentiality requirements, or other privacy laws and regulations.

Professional Conduct

Employees are expected to conduct themselves professionally online and avoid content that could

negatively impact the workplace or AIM's mission. Employees may not post content that:

  • Is discriminatory, harassing, threatening, intimidating, or obscene.
  • Violates AIM policies concerning workplace conduct, harassment, discrimination, or confidentiality.
  • Knowingly spreads false information about AIM, its employees, the people it supports, or its services.
