Employees should also familiarise themselves with the procedures within other offices or buildings which they are visiting. This includes knowing the location of the fire assembly points and fire escape routes from the premises concerned.

The Group will ensure that:

  • Fire safety procedures are drafted and communicated to all relevant persons.
  • All fire-fighting appliances, detection systems and alarms are regularly inspected and tested, with records held.
  • Fire instruction, training and drills are provided to employees twice a year.
  • Fire procedures are reviewed at frequent intervals, with regular tests of the procedure.
  • Suitable and sufficient fire safety risk assessments are carried out for each of our premises and reviewed in accordance with the Fire Safety policy and procedures.

10. EMERGENCY ARRANGEMENTS

In the event of an emergency staff should refer to the Business Continuity Plan and Crisis Communications Manual.

All instructions issued by the Fire Marshals, senior personnel or external organisations such as the Fire or Police services must be followed.

11. GENERAL HEALTH AND SAFETY ARRANGEMENTS

The Group are responsible for ensuring that suitable means of access and egress are provided and that arrangements are in place for managing any health and safety risks. Where an employee notices an unsafe condition within one of our premises, the matter must be reported via the near miss procedure located on the intranet under H&S in order that action can be taken.

We would ask that all employees:

  • Do not leave bags or personal items on access and egress routes.
  • Move loose and trailing cables under desks or report these to their Line Manager for urgent attention where it is not possible to move them.
  • Report all near misses or hazards identified using the forms on the intranet.
  • Wear their ID badges when appropriate;
  • Ensuring unauthorised persons are not permitted entry to any of our premises;
  • Keeping keys and fobs safe and not lending keys or fobs to other members of staff;
  • Ensure access codes remain confidential;
  • Ensure main entrances and exits are secured as appropriate.
